Rules and Guidelines for Traders

The Westfield Sports Car Club welcomes small businesses who wish to promote relevant products and services to our members. In return, we ask all Traders to operate professionally, respectfully, and within the guidelines below to ensure a fair, enjoyable community for everyone.

1. Purpose of Trader Status

Trader status allows businesses to:

• Promote relevant goods and services to WSCC members.
• Post offers and technical insights within the forum.
• Support members with expertise, solutions, and specialist knowledge.

Trader status does not convert the WSCC forum into a shop or general advertising platform.

2. Core Conduct Expectations

All traders must:

• Conduct themselves in a courteous, honest and professional manner at all times.
• Respect that the forum is a member-focused community, not a sales feed.
• Ensure all posts remain relevant to Westfield ownership, maintenance, upgrades, competition, or practical use of the cars.

3. Advertising & Posting Rules

The forum is not a shop, catalogue, or auction site. You may advertise only within:
• Your dedicated Trader section, and
• Relevant threads where your expertise or product directly assists the member.
• Special offers or deals must include clear pricing.
• Do not “spam” the forum. Excessive posting pushes real discussions away from members.
• If you sell a wide range of items, post a link to your website/eBay shop rather than creating individual posts for each product.
• You may post anywhere on the forum, but threads you start must be relevant to the section they appear in.
• When offering advice on a member’s thread, respect their decision if they decline your recommendation.

4. Prohibited Behaviour

To protect the integrity of the Club and its members:

4.1 Direct Off-Platform Solicitation Traders must not actively encourage WSCC members to bypass the Club’s Trader channels. Any behaviour that attempts to divert members away from the Club platform is strictly prohibited.

4.2 Unsolicited Private Messages • Traders must not use the PM system to send unsolicited offers, promotions, or sales messages.

4.3 Irrelevant or Overly Broad Promotion • Posts should be restricted to products/services of genuine relevance to Westfield ownership or motorsport involvement.

5. Good Practice & Member Support

Traders are encouraged to:

• Offer honest, impartial advice based on their expertise
• Support members with technical issues where appropriate.
• Maintain transparency regarding pricing, delivery times, and stock availability.
• Avoid hard-selling; the community values genuine engagement over pressure tactics.

6. Compliance

Failure to comply with this Code of Conduct may result in:

• A warning
• Suspension of Trader privileges, or
• Removal of Trader status without refund, at the discretion of the WSCC Committee.
